    Office of the President/Records and Registration

    Student Services Professional II - Exempt

    RESPONSIBILITIES & DUTIES:

    Primarily responsible for the complex tasks and training regarding all processes related to records evaluation and maintenance, transfer credit, candidacy, and graduation. Interprets and applies Title 5, University, and CSU system-wide policy as relates to registrar area functions. Provides, when necessary, academic advising, counseling, analysis, and assessment for students attempting to complete requirements relating to degree requirements. Evaluates, verifies, and confers degree requirements based on established university policies and procedures. Notifies students of evaluation results, informing them of appropriate options to satisfy outstanding requirements, explaining relevant policies, regulations, and procedures. Refers students to other academic units when appropriate. Reviews academic documents, assisting students in appropriate appeal processes, and providing information on requirements via one-on-one meetings, phone, email, and message communications. Serves as the Registrar’s Office liaison to collaborate with colleges, departments, and other academic units to resolve issues related to completion of General Education, major, and/or minor requirements for students who have applied for graduation.

    Maintains student academic records, facilitating students’ ability to register for classes and processing various documents on the student database, ensuring documents are scanned for future retrieval. Provides information related to registration and records to students, faculty, and staff. Coordinates at least one special program (i.e., Intrasystem Enrollment, CSU Fully Online, Transfer Credit, etc.) including development, maintenance, and upgrading or modifying the assigned program(s) as needed.

    Performs other related duties as assigned.

    REQUIREMENTS OF POSITION:

    Education: Bachelor’s degree from an accredited four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field. A master’s degree in a job-related field may be substituted for one year of professional experience.

    Experience: At least two years of experience in a registrar’s office or equivalent combination of experience, providing outstanding service to prospective, admitted, and enrolled students. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year- for-year basis.

    Other Knowledge/Skills: Working knowledge of the practices, procedures, and activities of the Registrar’s Office; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and the principles of individual and group behavior. Ability to apply knowledge of and judgment in using the principles, techniques, regulations, standards, and guides of the Registrar’s Office and Admissions and Recruitment. Ability and willingness to uphold and abide by the Federal Educational Rights and Privacy Act (FERPA) and implement, communicate, and enforce federal, state, CSU system, and university policies and regulations.

    Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work

    assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, campus colleagues and other private and public agencies; and, rapidly acquire a general knowledge of the overall operation, functions, and programs of the campus. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas.

    A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

    The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

    Hiring Salary: $5,083/month
