    Duties Description

    This position will work out of the Regional Maintenance Office and will perform a wide range of administrative tasks related to managing correspondences, files, calendars, purchase/spending tracking, work coordination, information gathering, and the compiling of reports. The selected candidate will work under the direction of the Regional Maintenance Engineer. Duties include, but are not limited to:

    • Tracks and coordinates assignments.
    • Sets up and manages paper and electronic filing systems.
    • Uses various information technology applications such as email, database, spreadsheets and word processing applications.
    • Operates office equipment such as printers, scanners, and copiers; and arranges for repairs when equipment malfunctions.
    • Creates, maintains, and enters information into spreadsheets and databases.
    • Maintains scheduling and event calendars. Schedules and confirms appointments for Regional Maintenance Supervisor and staff.
    • Assists regional maintenance staff with travel arrangements and expense report submissions.
    • Assists regional maintenance staff in the completion of forms in accordance with agency procedures.
    • Attends meetings and drafts meeting minutes and distributes to appropriate staff.
    • Assist in the tracking of leave requests and accrual usage.
    • Perform mathematical functions including addition, subtraction, multiplication, and division.
    • Comprehend written material and instructions.
    • Tracks Regional Maintenance purchases, reviews receipts, and enters purchasing data into Statewide Financial System (SFS).
    • Assist with other supporting office functions as assigned.

    Minimum Qualifications

    There are no minimum qualifications for this title per Civil Service.

    Additional Comments

    OPERATIONAL NEEDS:
    • Must possess and maintain a valid driver’s license that allows the candidate to legally operate a motor vehicle in New York State as a term and condition of employment.
    • High School or Equivalency Diploma, College Degree with coursework in accounting or auditing preferred but not required.
    • Experience working in the park maintenance, construction, garage, and/or engineering industry is preferred, though not required.
    • Must be proficient in the use of Microsoft Office applications such as Excel, Outlook, Word, etc.
