    Job Summary

    The City of Greenville has an opportunity for a motivated individual to join our City Clerk's Office. This new position will provide administrative support to the department and serve as a receptionist to welcome visitors who walk into City Hall.

    Work Schedule: approximately 20-29 hours a week, between Monday - Friday 8:00 am to 5:00 pm.
    FLSA Status: Non-Exempt

    **This is a designated part-time position with limited benefits available (401K, Retirement, Sick leave, and Vacation leave)**

    Examples of Duties

    • Greet, welcome, and direct visitors to the appropriate office/staff;
    • Answer telephone and provide information to callers or transfer calls to appropriate individuals;
    • Assist the public, and direct inquiries and complaints to City departments;
    • Address customer inquiries and assist as needed;
    • Maintain office security by following safety procedures and controlling access via the receptionist desk;
    • Serve as support for the City’s board and commissions. Related duties include: maintaining and updating the database for City boards and commissions, preparing monthly reports for City Council appointments and reappointments, distributing board and commission applications to Council Members, advertising vacancies, corresponding with applicants and potential applicants, and responding to inquiries from citizens and staff;
    • Compose and type letters, proclamations, memoranda, certificates, flyers, schedules, and invitations independently in conformance with City policies;
    • Assist in the retrieval of ordinances, resolutions, and minutes of City Council meetings;
    • Assist in maintaining website pages for the City Clerk's Office as assigned;
    • Maintain files and perform other clerical tasks including setting up for City Council meetings, processing standard business forms, copying, typing, and recordkeeping as assigned;
    • Order office supplies as needed for the department;
    • Prepare paperwork for payment of bills for the department;
    • Provide support in maintaining the Mayor and City Council calendar of events and scheduling meetings in various City Hall conference rooms;
    • Maintain inventory files; and
    • Perform other duties as assigned.


    Minimum Qualifications

    Education and Experience:
    • High school diploma or GED required; supplemented by training/course work in office systems technology or related field; and
    • A minimum of one year of related clerical/administrative experience.

    REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

    Knowledge of:
    • administrative and clerical procedures and systems such as word processing, managing files and records, and designing forms.
    • the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
    • the principles and processes for providing customer service.
    • electronic equipment, and computer hardware and software.

    Skilled in:
    • communicating effectively in writing as appropriate for the needs of the audience.
    • word processing and other office technology.
    Ability to:
    • use computer systems to enter data or process information.
    • listen to and understand information and ideas presented through spoken words.
    • read and understand information and ideas presented in writing.
    • work cooperatively with City officials, other employees, and the general public.
    • work safely without presenting a direct threat to self or others.
    • meet the mental and physical demands of the job.


    Special Requirements

    • Must possess and maintain a valid driver's license. (Note: A valid driver's license is a current driver's license that is not revoked, suspended, or subject to limited restoration or conditional operation privileges).
    • This position may occasionally work evening meetings.
