Job Summary/ Objective:Performs a wide variety of specialized administrative and clerical duties. Work requires extensive knowledge of, and passion for, Virginia Cooperative Extension and our services, and the ability to communicate these to others. Also requires ability to learn and comply with Virginia Tech and Albemarle County policies and procedures. Tasks may require the ability to plan and carry out assignments. Does related work as required. Work often involves providing assistance to agents, volunteers and temporary employees. Occasionally assists with preparing program materials, room setup, etc.
Supervisory Responsibilities: None.
Essential Functions: - Meets/greets/screens customers/visitors. Answers questions and provides information.
- Receives payments, writes receipts, makes deposits.
- Collects and enters program registrations, maintains database/spreadsheets.
- Answers unit/department phones, takes messages and provides responses.
- Receives, opens, and sorts mail. Receives, signs for and distributes packages.
- Responsible for a variety of routine administrative assignments.
- Answers routine correspondence for agents/staff.
- Schedules meetings and appointments.
- Helps design promotional materials, newsletters, flyers and compiles materials for annual report
- Helps maintain social media pages and promote programs and events
- Operates a variety of office machines; May serve as first contact for office equipment maintenance.
- Provides back-up for department administrative staff. Provides assistance as required to agents, staff and volunteers.
- May assist with special and/or regular projects and events.
- Infrequent responsibility for supervision of others. Responsibility may include providing occasional direction for temporary staff.
Competency: Knowledge/ Skills/Abilities: - Thorough knowledge of standard office practices, procedures, equipment and clerical techniques.
- Efficient oral and written communication skills.
- Ability to establish and maintain effective working relationships with co-workers, volunteers and the general public.
- Intermediate level proficiency in office-related software (i.e. Microsoft Office, Google Apps). Intermediate level proficiency in County or Department-specific databases.
- Ability to operate office equipment; Computer, copier, postage meter, Fax, printer, multiple-line phone, laminator, projector, and scanner.
Required Education and Experience: Any combination of education and experience equivalent to graduation from high school and one year of office/professional experience.
Preferred Qualifications/Certifications: - Possession of a valid appropriate driver's license issued by the Commonwealth of Virginia preferred.
- Knowledge of Virginia Cooperative Extension and our various program areas
- Experience advertising and promoting events
- Fundraising/grant writing experience
Physical and Mental Requirements: - Regular contacts are made with individuals from other internal departments, outside organizations, and/or the general public for purposes of exchanging information which may require some judgment or interpretation.
- Communication is usually cooperative in nature, with infrequent conflicts resolved by higher authority.
- Conducts work in a sitting position; however, requires frequent standing, walking, bending, stooping and light lifting.
- Requires frequent interaction with co-workers and the general public.
Salary Range:The hiring range for this position is $19.83 - $21.92 per hour, which is approximately $41,242 - $45,584 per year. Starting offer is based on applicable education beyond minimum requirements and internal equity. The position also provides excellent benefits including 12 paid holidays, paid vacation and sick leave, health insurance options with employer contribution, employer-paid life insurance, VRS retirement, and continuing education/training opportunities. This is a full time, FLSA non-exempt position. Internal candidates will receive pay adjustments in accordance with Local Government Personnel Policy, §P-60.
