    Position Scope

    THIS POSITION IS PART TIME FOR THE BUCKEYE YOUTH COUNCIL

    GENERAL PURPOSE: Under close supervision, performs basic and routine functions such as providing reception and customer service, receipt and processing of forms/data/records; data input; and file storage and retention. The primary function of this position is to provide internal and external customer service by answering and screening incoming calls on the City’s main phone line and forwarding to the appropriate department/staff.

    Primary Duties and Responsibilities

    The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

    • Exhibits a service orientation toward internal and external customers and maintains productive working relationships
    • Provides internal and external reception and customer service by answering phones; directs and troubleshoots calls and inquires; greets and assists customers; takes messages and responds to routine calls/inquiries
    • Performs clerical and administrative duties, including data entry, record keeping, preparing and processing various documents, proofreads documents for distribution
    • Responds to requests for information and provides responses to questions
    • Creates and maintains records and files
    • Coordinates and schedules meetings and appointments as requested
    • May assist customers with applications, government forms and other documents
    • Performs other duties as assigned or required


    Minimum Qualifications & Position Requirements

    Education and Experience: High School diploma or GED equivalent, and one (1) year of general office and/or customer experience; OR an equivalent combination of education and experience.

    Knowledge of
    • City organization, operations, policies and procedures
    • Multiple line phone systems
    • Data entry techniques
    • Basic mathematical skills
    • Principles of record keeping and records management

    Skill in:
    • Providing customer service
    • Answering multiple phone lines
    • Utilizing a computer and relevant software applications
    • Preparing and maintaining files, records and documents
    • Solving routine problems
    • Handling confidential and sensitive information
    • Managing time
    • Prioritizing work
    • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. to exchange or convey information and to receive work direction
    • Establish and maintain positive, effective working relationships with those contacted in the performance of work

    12 Month Goals:
    • Research/create leadership training for youth council executive team
    • Create project plan for a teen summit for local middle and high schoolers
    • Create committee project planning template including benchmarks and self-evaluation
