About the Position: Under general supervision of the Associate Dean and in collaboration with the Department Chair for Occupational Therapy, the incumbent's primary duties involve moderate to complex clerical work assignments in support of the Occupational Therapy Department. Assignments include planning and coordinating work activities with relative independence, communicating effectively, and meeting deadlines. The incumbent will utilize a full range of office support technology and systems to enter data, generate reports, and maintain databases. Work often involves front line contact with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
Overview of Duties and Responsibilities: - Oversees all aspects of the administrative operations of the Occupational Therapy department.
- Supports the Occupational Therapy Department with daily needs providing customer service to all staff, faculty, and students from the department.
- Serves as the primary point of contact to current and prospective students responding to inquiries and assisting as needed in-person, on the phone, Zoom, and via email.
- Coordinates various office functions including the arrangement of meetings and room reservations.
- Supports financial activities for the department by processing requisitions, direct pays, hospitality requests, travel requests, Foundation purchase orders and check requests, procurement card purchasing and reconciliation, as well as the tracking of all department expenditures and reimbursements
Minimum Qualifications: - High school program, technical/vocational program, or their equivalents combined with several years of related office work experience, equivalent to three (3) years.
Knowledge, Skills, and Abilities: - Thorough, detailed knowledge of university, college and departmental policies and procedures.
- Thorough knowledge of correct English grammar, spelling and punctuation.
- Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
- Ability to handle effectively a broader range of interpersonal contacts and high level of detail oriented work.
- Ability to independently handle multiple work unit priorities and projects.
