    The Materials Management Specialist is responsible for the acquisition, storage, and distribution of equipment, supplies, and materials necessary for the efficient operation of Partnership Health Center (PHC) clinics. This role ensures that all necessary supplies are available to meet patient care needs while maintaining inventory control, negotiating with vendors, and managing supply distribution across multiple PHC locations.

    Representative Examples of Work

    Procure and distribute medical and office supplies, equipment, and other necessary goods for PHC and outside agencies.

    Maintain supply inventory, conduct physical inventory audits, and reconcile discrepancies to minimize waste, loss, and theft.

    Develop and implement inventory management systems to optimize storage, streamline operations, and track supply levels.

    Coordinate purchasing functions, including bids, requests for proposals, vendor negotiations, and special orders.

    Oversee fixed asset management, ensuring proper documentation, tagging, and reconciliation of assets.

    Facilitate the proper use of county vehicles by PHC employees, including reservations and maintenance coordination.

    Manage vendor payments, process invoices, and ensure accurate billing for supplies, postage, and motor pool usage.

    Handle incoming and outgoing mail, parcels, and packages, including tracking shipments and ensuring timely deliveries.

    Ensure compliance with PHC Corporate Compliance Guidelines, HIPAA regulations, and safety standards.

    Maintain cleanliness and sterilization of medical tools, exam beds, and equipment in clinical areas.

    Assist with basic biomedical needs, including coordination of minor medical equipment maintenance, troubleshooting issues, and ensuring proper sterilization protocols.
    Organize the disposition of surplus property in accordance with county policies.

    Oversee the management, maintenance, and troubleshooting of company printers, ensuring supplies such as ink and paper are stocked and coordinating repairs as needed.

    OTHER DUTIES:
    Assist in the development of annual department budgets as directed by the Chief Financial Officer.

    Perform other related duties as required or assigned.

    SUPERVISION RECEIVED: Works under the direction of the Materials Management Supervisor.

    SUPERVISION EXERCISED: None.

    WORKING RELATIONSHIPS: Frequent interactions with PHC departments, external vendors, and outside agencies to ensure the effective procurement and distribution of materials. Regular collaboration with the County Centralized Services Division and PHC Finance Department. Works closely with patient-facing staff to ensure adequate supply levels for optimal patient care.

    Minimum Qualifications

    An equivalent combination of education and experience may be considered.

    EDUCATION: High school diploma or GED required; one post-secondary course in Accounting preferred.
    EXPERIENCE: At least three years of administrative support experience in an office setting with customer service and data entry responsibilities. Experience in a healthcare setting preferred.

    SPECIAL REQUIREMENTS : Requires a valid Montana Driver’s License. Requires immunizations or proof of immunity to certain infectious diseases and a TB test. New employees will be asked to volunteer vaccination status for required vaccines upon hire and will be offered assistance during hiring to receive necessary immunizations. Employees who have not received the vaccines required for their positions or who are unwilling to voluntarily provide vaccination status for required vaccines will receive a reasonable accommodation where such accommodation does not require an undue hardship or endanger the health or safely of any person.

    Physical/Environmental Demands

    Requires alternating between sitting, standing, and walking, with regular lifting (up to 50 lbs.) and occasional maneuvering of up to 100 lbs. May involve exposure to biohazards, chemicals, and other potentially hazardous materials. Requires handling mail processing equipment, including conveyor belts and other moving parts. Work schedule may include evenings and weekends. This position is not eligible for remote work.

    Excellent Medical Health Benefits- Group health benefits, including dental and vision coverage, are available to eligible County employees. The medical health benefits premium is covered for full-time employees. The County contribution is pro-rated on hours paid for part-time employees. The employee pays the premium portion for dependent coverage. Family health benefits coverage is $258.00 per pay period.

    Medical deductible is $500 for an individual and $1,000 for a family.

    Public Employees Retirement System- Montana public employees of the state, university system, local governments and certain employees of school districts are covered by the Public Employees Retirement System (PERS). New members to the PERS have an opportunity to choose between two retirement plan options: the Defined Benefit Plan or the Defined Contribution Plan.

    Sheriffs' Retirement System (SRS)- A public pension plan for all Montana Sheriffs hired after July 1, 1974 and Detention Officers hired after July 1, 2005.

    Supplemental Retirement Benefitsare offered through Valic or Nationwide.

    Sick Leave- Full-time employees accrue 7.38hours per month and are eligible to use sick leave once you have been an employee for 90 days.The accrual is pro-rated for part-time employees.

    Vacation Leave- Full-time employees accrue 9.24 hours per month and are eligible to use leave after continuous employment for a period of 6 full months. The accrual is pro-rated for part-time employees.

    Holidays- The County observes eleven legal holidays in even numbered years and ten legal holidays in odd numbered years.

    Paid Parental Leave (PPL)-In recognition of the importance of bonding and care of a newborn child or a child placed for adoption, Missoula County 6 continuous weeks of PPL to eligible full-time employees that have been with the county for 180 days. The hours are pro-rated for part-time employees.
