GENERAL DESCRIPTION OF POSITIONPerforms technical and legal administrative work of some complexity in the support of city legal proceedings. Work requires specialized knowledge of legal procedures, principles, terminology, and forms. Incumbent is responsible for performing varied legal clerical and administrative work which involves considerable contact with the public, various departments and agencies; filing and reporting of case information from public and law enforcement agencies in accordance with policies; maintaining confidential records; disseminating information to the public and/or law enforcement agencies. Incumbent also exercises a high degree of independence and thoroughness and accuracy in performing secretarial duties and administrative details within established time constraints.
SUPERVISION RECEIVEDWork is performed independently under general supervision of the Administrative Supervisor and/or City Attorney. Work is reviewed through conferences and review of legal correspondence.

Minimum Qualifications/Special RequirementsDESIRED MINIMUM QUALIFICATIONSEducation and experience:- Completion of a two-year college degree in business education or a related field; Associate Degree in paralegal or legal assistant desired.
- Two to five (2-5) years of experience in legal secretarial work in a public jurisdiction.
- Specialized course work in legal terminology, procedures and practices and/or experience in general office practices such as typing, word processing, electronic spreadsheets and databases, filing, accounting and bookkeeping.
- Any combination of experience and training which demonstrates the knowledge and experience to perform the work.

- Serves as Legal Assistant to attorneys; Works independently and makes appropriate decisions based on knowledge of City policies and legal standards; performs duties within scope of authority; Duties may vary according to job assignment.
- Conducts legal research.
- Applies independent judgment based on knowledge of City and City Attorney’s Office policies and procedures, gained through work experience and technical training; May provide case management functions for prosecution and litigation; Prepares, tracks, and follows up on legal documents; Maintains and updates case files.
- Prepares and processes legal and technical documents; Prepares legal papers for court filings, and processes legal documents according to court procedures and attorney instructions.
- Creates and manages case files; Composes and creates memoranda and legal documents; Researches files and computer databases; Updates files, computer records and tracking systems; Checks on-line databases, and collects and distributes related information.
- Evaluates case files and researches missing and incomplete information and documents; Reviews case files and status with attorneys, and prepares activity and status reports.
- Prepares files for pretrial conferences, trials, and sentencing from daily docket, locates files, and requests supplemental reports.
- Prepares discovery materials including the preparation of disclosure statements and lists of witnesses and exhibits and witness notifications, at direction of attorney.
- Prepares legal documents by entering the required data, reading the charges and offenses, verifying accuracy, preparing indictments and subpoenas, and distributing copies.
- Creates and maintains litigation and other case files; labels and indexes pleadings and related correspondence; locates and retrieves legal authorities and cases from the law library resources and other case files.
- Contacts appropriate agencies and courts regarding status of pleadings, scheduled hearings and other case information.
- Coordinates interviews by scheduling dates and times, confirms appointments and calendars with attorneys, opposing counsel, officers, victims, and victim advocates.
- Screens office visitors and telephone calls for the City Attorney’s Office, researches information, provides information within area of assignments; routes calls to appropriate staff member, department or agency.
- Receives and reviews incoming mail; updates status on litigations matters; routes mail items to attorneys for review.
- Arranges, schedules and confirms appointments, meetings, court settings, and deposition settings; notifies parties involved.
- Proofreads documents, correspondence and other related items; ensures proper work methods are upheld.
- Organizes and maintains complex filing systems, records, and indexes.
- Organizes, collates and prepares documents and materials/binders required or requested by attorney.
- Maintains calendars of attorney appointments, meetings, interviews, court appearances and deadlines for court filings.
- Assists prosecutors with preparation before trial and during trial.
- Organizes legal files for attorneys.
- Researches and orders various criminal history records.
- Prepares disclosure and victim correspondence for criminal cases.
- Communicates and coordinates regularly with Kingman Municipal Court and Police Department to maximize the effectiveness and efficiency of operations and activities.
- Contacts personnel in other departments to keep them informed of the status of relevant files, cases, and schedules hearing dates.
- Serves on City teams as assigned by attending meetings, performing assigned tasks, and working in cooperation with other City employees for a common goal.
- Communicates and acts in a professional manner with the public, co-workers, and work contacts.
- Regular attendance is an essential function of this job to ensure continuity.
- Performs all work duties and activities in accordance with City policies and procedures; follows safety policies and practices, works in a safe manner, and reports unsafe activity and conditions.
PERIPHERAL DUTIES- Operates a vehicle to run errands for the department and travel to meetings, conferences, trainings.
- May serve on a variety of employee committees.
- Performs related duties as required.
- Performs special assignments as requested.
WORK CONTACTS- Regular and frequent contact with police departments in obtaining reports and trial information.
- Contact with the general public to include attorneys, judges, and defendants when processing legal work.
