    THE POSITION

    With supervisor approval, incumbents may be eligible for intermittent remote work; however, they must physically reside within the Sacramento region or have the ability to regularly report to a City of Sacramento physical worksite with little notice.

    The Arts Program Assistant within the Convention and Cultural Services Department is responsible for assisting with programs, projects, and grants that empower artists, culture bearers, creative businesses, and nonprofit organizations in Sacramento. This position will work closely with, and under the supervision of, the Grants and Programs Manager to support the grant management process, facilitate virtual webinars, coordinate peer panel reviews, and maintain the division’s data management systems. Additionally, this position will support the division’s social media presence, website updates, and off-site events related to grants and programs.
    IDEAL CANDIDATE STATEMENT

    The ideal candidate will provide excellent customer service and be comfortable meeting and interacting with artists, City staff, and the general public. The ideal candidate will be skilled in managing multiple project tasks, have strong organizational skills, and be able to learn and utilize data and grant management systems. Experience with design tools, social media platforms, and presentation software is a plus. A background or strong interest in one or more artistic disciplines is desired.
    To assist in the development and coordination of Metro Arts Division programs (SMACD).

    SUPERVISION RECEIVED AND EXERCISED

    General Supervision is provided by higher Metro Arts Division staff. Responsibilities include indirect supervision of student interns and direct volunteers and consultants.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Depending upon assignment, duties may include but are not limited to:

    • Assist in the development and coordination and implemntation of various programs for Metro Arts.
    • Research and prepare reports and promotional materials such as press releases, brochures, annual reports newsletter etc.
    • Graphic design and layout of newsletters using computer graphics software.
    • Assist in the development and preparation for grant applications, technical assistance workshops, orientations and panel meetings.
    • Respond to questions and requests from the public regarding Metro Arts Division programs.
    • Prepare and maintain computerized database such as mailing lists, labels, and directories and project management tracking matrixes.
    • Assist in preparing correspondence, minutes and materials for Metro Arts programs and meetings.
    • Monitor contracts budgets, and payments with current grantees; conduct site visits as asssigned.
    • Process and monitor invoices and vouchers for grantees and other payments.
    • Develop and maintain photo and slide/digital registries and archives as required.
    • Assist in teh development and implementation of outreach activities and technical assistance.
    • Represent Program Coordinator and other staff at meetings, panels and community events as needed.
    • Provide general clerical support.
    • Oversee and/or supply graphic design as needed.
    • Provide excellent customer service.
    • Other related duties may also be performed; not all duties listed may necessarily be performed by each individual holding this classification.


    QUALIFICATIONS

    Knowledge of:

    • Writing principles
    • Research techniques, methods, and procedures

    • English usage, spelling, grammar, and punctuation
    • Office procedures, methods, and equipment
    • Record keeping principles and procedures.
    • Basic principles of organizational planning.

    EXPERIENCE AND EDUCATION

    A typical way to obtain the knowledge and abilities would be:

    Experience:
    Two years experience providing assistance in developing and coordinating programs, preferably involving performing or visual arts.

    - AND -

    Education:
    Completion of 15 semester or comparable quarter units in any of the following areas: marketing, communications, public relations, art administration, community development or a related field.

    - OR -

    Experience:
    One year of experience providing assistance in developing and coordinating programs, preferably involving performing or visual arts.

    - AND -

    Education:
    An associate degree or completion of 60 semester or equivalent quarter units from an accredited college or university with a concentration in marketing, communications, public relations, art administration, community development or a related field.

    - OR -

    Education:
    A Bachelor's degree from an accredited college or university with a major in marketing, communications, public relations, art administration, community development or a related field.

    PROOF OF EDUCATION

    Proof of education such as, but not limited to, university/college transcripts and degrees should be submitted with your application and will be required at the time of appointment . Unofficial documents and/or copies are acceptable.

    An applicant with a college degree obtained outside the United States must have education records evaluated by a credentials evaluation service. Evaluation of education records will be due at time of appointment.

    PROBATIONARY PERIOD:

    Employees must complete twelve (12) months of probation at a satisfactory performance level prior to gaining permanent status.

    2. Training and Experience Exam : (Weighted 100%) - The questions located at the end of the application are the Training and Experience (T&E) Exam. Responses to the T&E questions will be rated and scored. This exam will evaluate the relevance, level, and progression of a candidate's education, training and experience. The exam score will determine your ranking on the eligible list for this job. When completing the T&E questions, please note:

    3. Eligibility : Candidates who pass the Training and Experience Test will be placed on the eligible list. The hiring department may contact candidates for interview at any time during the life of the one-year list. Candidate’s eligibility expires one year from the date of notification of a passing score for the Arts Program Assistant examination.

    4. Screening Committee : (Pass/Fail)- All candidates that pass the examination and are in one of the top three ranks will have their application forwarded to the hiring department for review. The hiring department will select the most competitive applications for further consideration. Human Resources will only evaluate employment applications for the minimum qualifications, as stated on the job announcement, for applications selected by the hiring department.

    5. Conditional Hire: Upon receipt of a conditional offer, the selected candidate must complete and pass Live Scan/fingerprinting. If applicable, candidates may also need to pass a pre-employment medical exam, controlled substance and/or alcohol test, and possess any required licensure or certification prior to receiving a start date from the Department. Failure to meet these prerequisites will be grounds for withdrawal of your conditional offer of employment.
