    $5,403.00 per month ($64,836.00 annually)

    Salary is commensurate with experience.

    Position Summary

    Under the general direction of the Head of Access Services, the Interlibrary Services (ILS) Lead provides leadership for all the library’s resource-sharing activities. The incumbent establishes and monitors overall departmental priorities, procedures, and work practices for borrowing materials from and lending materials to other libraries; provides lead work direction to unit staff and student assistants; and manages the unit's budgetary and other administrative functions. Additionally, the Interlibrary Services Lead coordinates with the
    Resource Sharing Specialist in handling borrowing and lending requests for library materials from patrons and other institutions.

    Position Information

    Lead Work Direction
    • Establishes and monitors overall unit priorities, procedures, and workflows, including setting unit goals and developing and refining ILS work practices to improve the user experience.
    • Provides lead work direction to ILS staff and student assistants, including training, scheduling, monitoring attendance, and providing input for evaluations.
    • Works with library administration to track expenses and identify cost-saving measures while maintaining a high level of service.
    • Prepares budget requests for student assistants and monitors ILS student assistant budget expenditures.
    • Recruits, trains, schedules, and evaluates student employees to support both borrowing and lending functions, including overseeing the physical processing, shipping, and receiving of library materials.
    • Establishes and leads unit meetings as needed.
    • Informs staff and student assistants of changes in other Access Services units and the Library in general that impact the ILS unit.
    • Monitors trends in ILL/Resource Sharing and recommends changes to policies, procedures, workflows, and he configuration of resource sharing systems as needed.
    • Compiles and analyzes borrowing and lending statistics to make data-informed changes to unit staffing, goals, and objectives.
    • Oversees copyright compliance, ensures the selection of the quickest and least expensive copyright method possible, and manages the annual end of the year balancing of copyright fees.

    Logistical Oversight and Unit Coordination with Partners
    • Coordinates with the Resource Sharing Manager at the California State University (CSU) Office of the Chancellor to ensure proper configuration of Rapido, the CSU resource sharing platform, for our library, as well as on maintaining, updating, and improving other resource sharing services such as CSU+ in Alma and traditional ILL in ILLiad.
    • Troubleshoots issues with our various resource sharing platforms and works with other library departments and external partners (e.g., Chancellor’s Office employees, external vendors, etc.) to make adjustments to these systems that improve the user experience.
    • Acts as liaison to the CSU for system-wide Interlibrary Services committees, working groups and related projects.
    • Coordinates and reports issues with the Unity Courier Service for the shipping and delivery of ILL materials.
    • Contributes to the overall CSU resource sharing goal of collaboration among all CSU campuses by interacting with other CSU Interlibrary Loan staff to share research, discuss issues, and determine policy and procedural best practices by participating on committees, attending CSU ILL and CSU+ conferences, and reaching out to counterparts at other CSU libraries.
    • Works with Campus IT/AT, IT experts at the Chancellor’s Office, vendors, and the library’s purchaser as needed to troubleshoot and ensure the routine maintenance of lLS equipment ( e.g., flatbed and microform scanners, photocopiers/printers, toner, paper, etc.) and software as well as the purchasing of needed materials and equipment for the unit.
    • Troubleshoots the most complex and complicated ILL problems and errors, communicating effectively with patrons, lending institutions, and vendors as needed.
    • Gathers and reports statistics on resource sharing activities for annual reports, including ACRL/IPEDS, Interlibrary Services Partner Information Exchange (I-SPIE), etc.

    Resource Sharing
    • Processes borrowing, lending, and document delivery requests (including renewals) for library materials from patrons and borrowing institutions through Ex-Libris Alma/Rapido, OCLC/ILLiad, and Rapid ILL.
    • Takes a lead role on all borrowing tasks.
    • Performs complex searches using Library subscription databases, OCLC, and other external online resources to verify, edit, and correct citations to facilitate efficient fulfillment and turnaround of Library and patron requests.
    • Develops and maintains expertise in software/databases utilized in interlibrary services.
    • Maintains accurate records of ILL borrowing and lending transactions.
    • Selects the best supplier for borrowing requests based on cost and turnaround criteria.
    • Receives, verifies, reviews, and processes incoming invoices for borrowed materials, lost/damaged ILL materials, and article copying fees.
    • Verifies compliance with copyright as well as licensing agreements for article copies requested from electronic journal holdings and chapters requested from eBooks.

    Customer Service
    • Provides excellent customer service.
    • Provides timely responses to inquiries regarding the status of borrowing and lending requests.
    • Consults with patrons regarding the different types of services the ILS unit provides and how to utilize them.

    Other duties as assigned, including assisting other Access Services units as needed.

    Minimum Qualifications

    • General understanding of a library’s organization structure and key functional operations.
    • Basic knowledge of library terminology and bibliographic forms and structures.
    • General understanding of library automated systems and the ability to quickly learn and use campus library systems, as well as related online catalogs and systems.
    • Ability to quickly learn and apply policies and procedures related to assigned functional work area.
    • Ability to use standard features of office support technology and standard software packages.
    • Demonstrated proficiency in English grammar, punctuation, and spelling, including the ability to clearly communicate verbally and in writing.
    • Ability to perform standard arithmetic operations.
    • Ability to work under minimal supervision to perform assigned work.
    • Ability to work within a diverse environment and be service-oriented in working with patrons and other library staff, including the ability to establish and maintain effective working relationships within and outside the library.

    Preferred Qualifications

    • Comprehensive knowledge of interlibrary service-related activities, policies, procedures, and platforms.
    • Thorough knowledge of library collection itself, its organization, and classification schemes.
    • Comprehensive knowledge of external online databases, systems, resources, and trends pertaining to interlibrary services, including expertise in searching strategies.
    • Comprehensive knowledge of institution’s and library’s policies and practices associated with the ethical use of and access to library and online resources.
    • Comprehensive knowledge of national and institutional standards pertaining to copyright and intellectual property protection and the ability to apply this knowledge to ensure full compliance with legal requirements.
    • Ability to participate in long-range planning through the collection, organization, analysis, and interpretation of data and information.
    • Comprehensive knowledge of all aspects of lead work direction, including recruiting employees, training employees in new work procedures, assigning work, organizing workflows, establishing priorities, reviewing work, providing input to performance evaluations, and promoting teamwork to optimize effectiveness.
    • Excellent written and oral communication skills.
    • Excellent customer service skills.

    Environmental/Physical/Special

    Position typically requires working five to six hours a day at a computer. Ability to lift, transport, sort, and shelve heavy library materials, book bins, bags, and book trucks.
