The Chief Executive Office is seeking qualified candidates to fill emergency Management Secretary III vacancies related to the homelessness crisis. Applicants will be processed on an as-received basis and those who meet the requirements may be hired on a temporary basis for up to 90 days.
Before the end of your temporary work period, you will undergo an assessment which consists of an evaluation of experience based upon your performance. This assessment will be weighted 100% and will evaluate your general ability to perform the job duties. Those who successfully pass the assessment will be placed on a list for and considered for permanent appointment to Management Secretary III.Essential Job FunctionsProvide secretarial support to the Senior Manager, Principal Analysts, and Senior Analysts operating within the Emergency Centralized Response Center (ECRC).
Assist with answering calls at the ECRC and referring calls to the appropriate staff members.
Assist staff members with linking outreach workers and jurisdictional callers to County departmental homeless and mainstream services.
Assist in the preparation of correspondence and reports by proofing, formatting, and supporting the leadership at ECRC.
Assist in organizing the daily operational needs of ECRC to ensure the ECRC team has the necessary secretarial support to be effective.
Maintain schedules, prepare for meetings, and order supplies as needed.
Maintain office files and records including those of a confidential nature.
Recognize, recommend, and implement changes in office, clerical, and secretarial procedures.
RequirementsTRAINING AND EXPERIENCE:One year of complex and highly responsible secretarial experience at the level of Los Angeles County's class of Secretary V, Senior Secretary III, Senior Secretary IV, Management Secretary I or Management Secr etary II
-OR- One year of experience at the level of Los Angeles County's class of Staff Assistant I assisting the manager of a line operation in a County department
-OR- Two years of highly responsible secretarial experience at the level of Los Angeles County's class of Secretary III, Secretary IV, Senior Secretary I or Senior Secretary II.
PHYSICAL CLASS: 2 - Light.
OTHER REQUIREMENTS:Typing Rate: 40 net words per minute.
SPECIALTY REQUIREMENTS: Specialized examinations may include:
Stenography Skill: Dictation rate of 80 words per minute.
Experience at the level of the Los Angeles County classes listed in the Minimum Requirements are defined as follows:- Secretary V - Functions as secretary to the head of a major section in either (1) a department headed by an elective official of the County of Los Angeles, (2) a department headed by an appointive official who provides immediate advisory services to the Board of Supervisors, or (3) the Department of the Public Defender.
- Senior Secretary III - Acts as secretary to the head of a major division in a large and complex County department.
- Senior Secretary IV - Acts as secretary to the head of a major division in a very large and complex County department.
- Management Secretary I - Acts as secretary to a deputy director in a small County department.
- Management Secretary II - Acts as secretary to a deputy director in a medium-sized County department.
- Staff Assistant I - Has responsibility for the housekeeping and record keeping functions, and conducts administrative studies of internal operations and procedures as an assistant to the manager of a line operation in a County department.
- Secretary III - Functions as secretary to either (1) the head of a major section in a large and complex County department, (2) the head of a minor section in Health Services, (3) the head of a major unit in either (a) a department headed by an elective official of the County of Los Angeles, (b) a department headed by an appointive official who provides immediate advisory services to the Board of Supervisors, or (c) the Department of the Public Defender.
- Secretary IV - Functions as secretary to the head of a major section in a very large and complex County department.
- Senior Secretary I - Acts as secretary to the head of a major division in a small County department.
