    Position Scope

    GENERAL PURPOSE: Provides a wide variety of clerical duties in support of the operations and services of the Buckeye Municipal Court; processing case information, reporting accurate case file information to the public and court users, cash handling, providing administrative support to judicial and administrative personnel, and serve as a mentor for Court Clerk I & IIs. May serve on either court services or court operation team during time with the court.

    Primary Duties and Responsibilities

    The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

    • Performs Court Clerk I and II duties as necessary.
    • Mentors and trains Court Clerk I and Clerk II who are assigned to their team.
    • Audits and verifies court-specific software data against case files for discrepancies and takes corrective action.
    • Assist with special projects as needed.
    • Help write and develop procedures and protocols for their team.
    • Help their supervisor with non-managerial functions.
    • Prepares and processes cases such as misdemeanors, civil traffic, parking violations, and other civil matters in compliance with legal requirements and procedures.
    • Performs tasks such as preparing and canceling warrants and summonses. Reports convictions to other agencies
    • Assists judges, attorneys, and defendants in the courtroom, preparing orders and sentencing documents for the court record.
    • Perform tasks in an open courtroom with competing priorities, often communicating simultaneously with judges, attorneys, and litigants.
    • Reviews and processes completed jail, diversion, probation terms, and sentencing. Review court case files for accuracy and completeness, determine the next appropriate action, and forward files for proper handling.
    • Handle large cash transactions and accurately process financial adjustments.
    • Maintains detailed and accurate accounting records of monies received and posted for fines, fees, and forfeitures per minimum accounting standards to control funds receipt and provide accurate and timely account reconciliation.
    • Establish and maintain effective working relationships with defense attorneys, City Prosecutors, Judges, management, and coworkers.
    • Investigates and responds to complex public complaints and service requests per established policies and procedures. Assists the public in person and on the telephone.
    • Effectively interacts with prisoners, defendants, and victims of crime in potentially volatile situations.
    • Handle multiple projects simultaneously and use good judgment in prioritizing work assignments.
    • Performs other duties as assigned or required.


    Minimum Qualifications & Position Requirements

    Education and Experience:

    High School diploma or GED equivalent, and three years of progressive responsibility in customer service or criminal justice field and working in a limited jurisdiction court.

    Necessary Knowledge, Skills and Abilities:
    • Knowledge of City Code, Arizona court system, Arizona Revised Statutes, Arizona Rules of Civil and Criminal Procedures, legal terminology, and courtroom behavior.
    • Must have a good working knowledge of Arizona Judicial Automated Case System (AJACS).
    • Knowledge of basic bookkeeping methods.
    • Knowledge of the principles of record keeping and records management.
    • Skill in interpreting and applying Court standards and procedures, applicable state rules and regulations, and City policies and procedures.
    • Skill in explaining court procedures and processes clearly, concisely, and comprehensively to attorneys, litigants, and the public.
    • Skill in establishing and maintaining cooperative working relationships with employees, officials, other agencies, and the general public.
    • Knowledge and skills in operating a personal computer utilizing various business software.
    • Skill in mentoring and training entry-level employees.
    • Ability to make independent decisions following established procedures, manuals, and codes.
    • Ability to provide quality customer service and handle difficult public contact situations.
    • Ability to follow written and oral instructions.
    • Ability to read, understand, and accurately complete legal forms and documents.
    • Ability to interpret and follow complex rules, regulations, and procedures.
    • Ability to apply legal terminology pertinent to court activities and procedures.
    • Ability to communicate effectively verbally and in writing.

    12 Month Goals:
    • Learn how to handle all areas your assigned team is responsible for.
    • Serve as a backup for clerks assigned to your assigned team when they are out and develop the skills necessary to delegate to others desk duties of staff who are out.
    • Learn how to audit files from your assigned team and handle at least 70% of the auditing for your team.
    • Complete leadership training program.
    • Create, at minimum, three step-by-step instructions for areas/procedures your team handles.
    • Assist with cross-training other members of your team.
    • Develop the skill set to assist with conflict resolution with court users.
    • Develop interpersonal skills to communicate effectively with your team, court users, and the court’s leadership team.


    Additional Information

    Bilingual skills (English/Spanish) preferred.

    Hiring Range: $22 - $27.51

    Salary range is the entire compensation range for the position classification.

    Hiring range is an estimate of the compensation amount for the selected candidate. The actual salary offer will carefully consider a wide range of factors, including skills, qualifications, experience, education, licenses, training, and equity amongst other City employees in a similar position.
