    An Administrative Assistant position is available with The City of Fort Worth Aviation Department at Fort Worth Meacham International Airport. The City of Fort Worth Aviation system is home to three world-class airports: Meacham International, Spinks and Perot Field. Both Meacham International and Spinks Airports provide regional aviation services for air charter, corporate, business and recreational flyers; Perot Field provides cargo carrier services. The airports feature full-service fuelers, multiple maintenance facilities, flight schools, on-site rental car facilities, and hotel facilities only minutes away. The City of Fort Worth Aviation Department is essential to the economic well-being and commerce taking place in the Dallas-Fort Worth Metroplex.

    This position will provide support on administrative activities in general and grant accounting practices, procurement, payroll, and human resources using PeopleSoft HCM and PeopleSoft Finance. This position will also serve as the department’s primary Aviation Advisory Board liaison.

    The ideal candidate will have strong written and oral communication skills. Attention to detail is critical as this highly skilled and utilized employee must be able to meet deadlines and work collaboratively. This position requires the ability to interpret the City's personnel rules and policies and federal employment laws. The successful candidate will be able to demonstrate strong interpersonal and administrative skills, outstanding customer service in a fast-paced work environment with a strong focus on results delivery and the ability to adapt to change.

    The Administrative Assistant job responsibilities include:
    • Responsible for administrative support in general and grant accounting, to include heavy use of Excel workbooks, submission of FAA and TxDOT reimbursement requests and reporting requirements, and submitting required monthly/quarterly/annual reports to FMS Grants Accountant, daily bank reconciliation & revenue entry using iNovah Cashier.
    • Serve as backup to front desk services at Meacham, providing telephone and over the counter interaction with external and internal customers;
    • Serve as cashier for iNovah transactions pertaining to airport gate access cards, conference center rentals, transient aircraft parking fees, etc.
    • Responsible for serving as secondary Human Resources Coordinator (HRC) and Medical Records Coordinator (MRC); including recruitment, benefits, medical and workers compensation, HR reporting responsibilities, disciplinary guidance to management, personnel actions and other HR forms as needed;
    • Serve as secondary for payroll/timekeeping functions within the division; includes processing time, resolving payroll errors and answering related questions, as needed;
    • Serve as the department’s primary Aviation Advisory Board liaison.
    • Responsible for providing administrative support to include, monitor and process travel and training requests; provide applicable HR training to department staff as required.
    • Serve as Procurement Card Holder for the department;
    • As needed, assist with purchasing functions, including creating purchase requests relating to grants, serving as a secondary receiver in PeopleSoft Finance, and assisting with end of year closeout
    • Provide backup to various staff positions and participates in special projects as assigned.

    Minimum Qualifications:
    • Associate’s degree from an accredited college with major course work in Business
      Management, Public Administration, Business Administration or related field
    • Four (4) years of clerical and administrative experience.

    Preferred Qualifications:
    • Intermediate to advanced skills in Microsoft Office (Word, Excel, Outlook);
    • Knowledge of PeopleSoft HCM including Time and Labor/Absence including experience with Payroll/Timekeeping Review
    • Excellent proof-reading skills and attention to details.

    Medical Program

    Vacation

    Available on the first day of employment, the city provides employees with paid holidays, including two personal holidays.

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
