    (Job #542796) Extended Education Specialist II, OLLI Program Coordinator, Hiring Range: $6,019 - $6,320. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in CEEGE.     Position Summary:

    Under general supervision from the Director of Programs and Partnerships, the Program Coordinator is responsible for the development and administration of the Osher Lifelong Learning Institute (OLLI) program and classes. Working with the program advisory board, plans curriculum according to current trends and to enhance older adult interests; selects and oversees instructors, coordinators and presenters. Creates program publications, and manages member recruitment, outreach and retention. Building relationships with donors, volunteers, campus and community partners, and the public.

    Provides strategic direction for financial sustainability. Performs a variety of special tasks and projects relative to the assigned area of responsibility. Provides lead work direction and administrative support for coordinators, and guidance to instructors, and other extended education programs, as needed. Serves as alternative site administrator for the Stewart Building.

    Key Responsibilities:

    Financial Planning, Development, Coordination, and Reporting
    • Develop and oversee the annual budget and ensure OLLI’s financial sustainability,
    • Set and reach fundraising goals that support OLLI’s financial well-being; create fundraising campaigns that appeal to OLLI membership and reflect the programs values; create effective donor stewardship processes, collaborate with University Advancement on fundraising campaigns; seek out new fundraising opportunities; identify and bring in new business sponsors; collaborate with University Advancement,
    • Work with college software for administrative functions,
    • Write and submit the OLLI annual report.


    Outreach and Partnerships for Lifelong Learning
    • Serve as the primary contact and support for faculty, including coordinating and facilitating regular meetings, responding to requests, and co-developing marketing materials,
    • Serve as liaison with the OLLI National Resource Center and manage compliance with the Osher Endowment Agreement,
    • Recruitment for lifelong learner programs through online info sessions and/or in person at campus events, neighboring campuses, conferences, career fairs, community events, open houses, etc.,
    • Facilitates OLLI partnerships in development of program vision including short and long-term program goals and objectives,
    • Develops and enacts plans for community outreach to reach and maintain program membership levels required by the Osher Institute. Organizes and coordinates with program volunteers to encourage and maintain member involvement and retention. Plans special member events and activities as appropriate,
    • Coordinates and produces schedule of classes; determines and applies appropriate media for defined target markets. Publishes program schedule and supplemental advertising; initiates press releases; works with community and college partners to develop effective marketing tools.


    Planning, Development, and Administration of OLLI Program
    • Reviews and determines appropriate curriculum offerings with faculty and instructors to meet community and College needs,
    • Determine OLLI class offerings each semester to ensure a balanced budget,
    • Innovate and create new revenue-generating programs,
    • Cultivate an organizational structure that is open and responsive to feedback from OLLI members, program staff, and other stakeholders,
    • Create, as needed, new committees and volunteer groups to meet program goals,
    • Build relationships with the campus and community, particularly with the various OLLI committees,
    • Reviews and approves instructor contracts; supports and mentors instructors and contract staff to encourage growth, professional success and ensure success of OLLI program;
    • Ensure OLLI program is in compliance with campus policies, including budgeting, payroll, risk management, permit processes, contracts, procurement, and human resources;
    • Responsible for cost analysis and reporting for programming, facilities, salaries, travel and supplies.


    General Responsibilities & College Support
    • Oversee Fusion reservation software, responsible for business services and programming; includes payment processing, problem solving and resolution of student accounts,
    • Serves as primary contact point for OLLI program,
    • Provides lead work direction for Extended Ed program staff,
    • Represents the College at senior activities throughout the community and acts as liaison with volunteers, community members, campus partnerships, and students,
    • Coordinate instructor evaluations; review evaluations forms and tabulates information; takes appropriate action to maintain quality of instruction and presentations,
    • Oversee all project-related administrative functions and use comprehensive information systems to register students, record expenses, and program elements to pay instructors,
    • Maintain a broad-based knowledge of university policies, initiatives, uphold diversity, equity and inclusion responsibilities,
    • Coordinates and oversees specialized functions or projects; assures that work is performed in a timely and accurate manner; uses independent judgment to develop and provide recommendations, suggestions or information as appropriate,
    • Participates in the development of goals and objectives as well as policies and procedures; makes recommendations for changes and improvements to existing standards, policies, and procedures; participates in the implementation of approved policies and procedures; monitors work activities to ensure compliance with established policies and procedures.

    • Knowledge of the resources of the Humboldt campus and the surrounding communities.
    • Ability to develop budgets and to analyze costs.
    • Ability to develop and implement strategic marketing plans for education programs and recruitment, including utilizing social media and various digital marketing strategies along with CRM for communication.
    • Position requires strong communication skills. Must be able to establish and maintain effective working relationships, and interpret, apply, and recommend various policies.
    • Must be able to use independent judgment and work in a high-speed, production-oriented environment with frequent deadline pressures and interruptions.
    • Must have experience coordinating varied and complicated projects. Position requires ability to anticipate potential problems and to respond appropriately. Requires strong organizational skills and attention to detail.


    Minimum Qualifications:

    Experience:

    Equivalent to three years of experience in planning classes and curriculum for higher or extended education programs and including developing resources, budgets, marketing plans and liaison with the community.

    Education:

    Equivalent to graduation from a four-year college or university, preferably with courses in adult education and curriculum planning.

    Preferred Qualifications:
    • Master’s degree
    • Previous experience in grant writing, development, fundraising, and community outreach.
    • Experience with travel programs both domestic and international for adults.
