    Anticipated Hiring Range

    $5,182.00 ($62,184.00 Annually)

    Salary is commensurate with experience.

    Position Summary

    Reporting to and receiving direction from the Associate Registrar, the Degree Progress Graduation Specialist is responsible for advising, counseling, and performing complex tasks related to updating degree progress reports, processing applications, and awarding degrees to undergraduate students at SF State University. This position provides academic assessment and analysis for undergraduate students attempting to complete Title 5, California State University (CSU) and SF State graduation requirements.

    Position Information

    Maintain & Update Degree Progress Report, including processing ARS Requests
    • Review, evaluate, and process degree requirement substitutions and other degree audit adjustments received via our ARS system or via other means.
    • Evaluate such substitutions to ensure they are consistent with university graduation policy, Title V, and other applicable policies, protocols, and legislation. When questions or concerns arise, escalate review to Lead Graduation Evaluator and/or Associate Registrar.
    • Update and maintain parts of the degree progress report including individual student exceptions granted by departments and the advising center. This includes researching and confirming that the outcome of processed exceptions matches the expected outcome of the requestor.

    Evaluate Student Records and Degree Requirements and Award Degrees
    • Coordinate and conduct the review and evaluation of an assigned portion of undergraduate applications for graduation.
    • Determine eligibility for graduation using electronically submitted and/or paper application data, transcripts, degree progress reports, and petitions. Advise and solve problems with individual applications for graduation by obtaining additional information from applicants, advisors, faculty and staff.

    • Interpret and apply policies to unusual cases and determine when to refer unusual cases to the management team.
    • Award degrees and order diplomas for eligible students.

    Advise Students and Support Commencement Process
    • Help students, staff and faculty resolve problems related to records maintained by the Registrar’s Office to answer specific questions directly related to degree progress reports and graduation evaluations.
    • Counsel denied applicants regarding options and alternatives.
    • Provide general undergraduate degree application and commencement information via phone, email and at One Stop area.
    • Advise undergraduate degree applicants regarding application processing and eligibility requirements.
    • Work with SF State’s Commencement Committee to ensure that all students are included in commencement communications.
    • Work with the SF State Bookstore to troubleshoot regalia rental and commencement ticket problems.

    Provide in person assistance in the One Stop, by phone/email and at campus-wide events and activities
    • Provide timely, efficient, accurate, and welcoming service to students. Answer emails (including to the general office email accounts), as well as phone calls (including to the general office phone line). Assist students visiting the Registrar’s Office One Stop location as needed.
    • Problem-solve to provide helpful guidance to students who may need creative solutions to meet their needs.
    • Be available during evenings and weekends, as requested, to represent the Registrar’s Office or the Division of Enrollment Management at campus recruitment, retention, and outreach events and programs.

    Minimum Qualifications

    Knowledge and Abilities: Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior. Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.

    Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job-related field may be substituted for one year of the professional experience.

    Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

    Preferred Qualifications
    • Bachelor’s Degree.
    • Experience awarding degrees to undergraduate students graduating from instructions within the CSU system.
    • Experience updating degree progress reports and updating student academic records using CS/PeopleSoft and/or other student information systems.
    • Experience in analyzing, reviewing, and interpreting academic policies and procedures as well as student documents and degree progress reports.
    • Experience in a higher education enrollment management environment, preferably in records, graduation evaluations, advising, admissions and/or degree audit.
    • Experience in customer service with a proven ability to communicate with students using current technology.
    • Experience with or ability to obtain quick working knowledge of CS/PeopleSoft, Microsoft Office Suites, On-Base and other student service based technology systems.

    Environmental/Physical/Special

    Sustained computer use. May be required to travel to off-campus locations for special activities or conferences, and work evenings and/or weekend events. Must be able to competently interact with a culturally and ethnically diverse population of students, faculty and staff. Employee must refrain from wearing scented products to ensure access for people with chemical sensitivities.
