    Position Overview:
    Under general supervision, the Administrative Senior performs research, clerical and/or technical tasks related to administrative support such as managing the reception desk at EMS HQ, including answering multi-line phone, forwarding calls to the appropriate party and taking accurate and legible messages when necessary. This position monitors and maintains office supply inventory by ordering as levels necessitate and acts as a liaison for office machinery service requests, submitting requests through the appropriate channels and to the appropriate repair facility. Also monitors and tracks repairs for trend data, notifying relevant staff of critical issues as they occur. The administrative senior will assist with room reservations, food purchases, and support with meetings, ceremonies, and other events. May prepare correspondence, review and respond to email inquiries and/or communicate information to applicable staff on behalf of executive team members.

    The Emergency Medical Services department is responsible for managing critical time-sensitive life-threatening emergencies.     The person selected for this position will be required to work in office full-time during a training period of at least six (6) months or more. Performance will be evaluated at the conclusion of the training period to determine a hybrid schedule.

    • Experience providing support/interacting with executive level staff and stakeholders.
    • Experience working with civil service public safety ( EMS , Fire, Police) possessing knowledge and understanding of the civil service environment.
    • Experience conducting customer service calls/surveys.
    • Experience managing controversial interactions with a skillset in diffusing unpleasant circumstances.
    Duties, Functions and Responsibilities
    Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.

    Provides administrative support on projects by researching and compiling data. Distributes and reconciles petty cash requests. Monitors and tracks interdepartmental documents. Creates, maintains and archives documents. Schedules and coordinates meetings and appointments. Greets visitors, handles their inquiries and directs them to the appropriate person according to their needs. Answers multi-line phones, transfers calls and takes messages. Opens, sorts and distributes incoming mail. Creates and maintains files, documents, records and reports. Orders and receives office supplies, ensures invoices match deliveries, notifies appropriate personnel of discrepancies. Prepares memos, letters and other documents.

    City Government
