    OVERVIEW

    We have an exciting opportunity for an Office Support Assistant to join our team. The Office Support Assistant is the first in-person point of contact for a patient on behalf of the Kitsap Recovery Center. They are responsible for all aspects of front office duties assigned by supervisor/lead. Duties include variations of receptionist duties—greeting patients, answering phones, and directing calls, assisting patients, with scheduling, registration, insurance verification, operating several types of basic office equipment, etc. This is an entry level position requiring excellent customer service skills. It is highly visible, requiring discretion, good judgment, a pleasant and professional manner, and articulate phone voice. Internal and external contacts include patients, families, co-workers, other providers, and the general public.

    QUALIFICATIONS FOR PERFORMANCE OF THE ESSENTIAL FUNCTIONS

    Required Education and Experience
    • High School Diploma or GED; AND
    • One year of office support experience in a medical environment OR
    • Any equivalent combination of experience and education that provides the applicant with the desired knowledge, skills and ability required to perform the work.

    Preferred Education and Experience
    • Data entry experience.
    • Front reception experience.
    • Proficient in Microsoft Office Suite.

    • Pass all job-related examinations/tests necessary to demonstrate required knowledge, skills and abilities, as determined by the hiring authority at time of job posting.

    PHYSICAL REQUIREMENTS

    • The duties in this position are performed in an office setting, and may be required to lift at least 20 pounds.


    ILLUSTRATIVE EXAMPLE OF DUTIES

    In this role, you will have the opportunity to:

    • Creates client profile/chart and Maintains client records updating information as necessary, verifies identity, demographics and insurance eligibility and confirms that these items are up to date and uploaded to the electronic health record under the profile created. Obtains all information from referring providers and courts and updates the patient record, also communicates changes with clinical staff. Assist patients who have no insurance with directing them to provider one to obtain benefits. Gives patients resources for other services as needed to include detox centers, mental health, and other treatment agencies.
    • Schedule appointments and manage the appointment calendar. Obtains all information from referring providers and courts. Running preliminary insurance verification before creating a profile and scheduling appointments. Optimize client flow for client check in / check out through ongoing communication with peers and management.

Greet and check in clients in a friendly and professional manner and alert care team of their arrival. Answer calls and direct them to the appropriate department or staff member. Responds to agency emails from other staff members and stakeholders, in a timely and professional manner. Responds to voicemails within 24 hours excluding weekends. Provides clients and co-workers with excellent customer services in all interactions. Participates in ordering supplies and maintaining office equipment. Gather, copy, fax and distribute materials according to established procedures.
    • Manages UA schedule, creating a calendar using the color system. Accurately Communicates through written documentation the call line messages to inpatient staff for posting on the message line daily. Collaborates with the LSA’s in a professional manner to collect samples from patients and ensure that that the process is followed. Reports to clinical staff results of the UAs by monitoring the Millennium UA results portal.

    Vacation Leave
    New employees are credited with 48 hours of annual leave upon hire and will be begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 360 hours from one calendar year to the next. Annual leave accrual will increase upon tenure, as follows:

    Upon completion of 3 years: 15 days per year (10.00 hours per month)
    Upon completion of 5 years: 20 days per year (13.33 hours per month)
    Upon completion of 10 years: 25 days per year (16.67 hours per month)
    Sick Leave
    All new hires will be credited with 48 hours of sick leave upon hire and will begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 1200 hours from one calendar year to the next.
