    Accounts Payable Administrative Technician

    $43.9635 - $56.6869 Hourly

    Plus excellent benefits and 3% salary increases scheduled for July 2025 and July 2026 .

    As a member of the Finance Department team, the Accounts Payable Administrative Technician performs a variety of technical and specialized accounting functions, including accounts payable and disbursement processing services, updating financial systems and interpreting financial reports. The Accounts Payable Administrative Technician works with minimal supervision.

    As the Town’s Accounts Payable Administrative Technician, you will:
    • Prepare, review and reconcile various reports, journals, ledgers, budgets, payroll or other related fiscal data.
    • Receive and verify invoices and requisitions for goods and services.
    • Prepare invoice batches, process and verify vendor payments; maintain files; troubleshoot problems with payments and accounts, as needed.
    • Process backup reports after data entry.
    • Manage weekly check runs and prepare vendor checks for mailing.
    • Audit and verify various reports, including source data or manual and computerized reports; maintain various subsidiary ledgers, auditing and reconciling reports; maintains fiscal documents and records related to various funds, insurance policies, property and loans.
    • Verify the completeness and accuracy of manual and computerized report information; c ompare information in subsidiary ledger with general ledger; maintains fiscal documents and records related to various funds, insurance policies, property and loans.
    • Reconciles credit card statements.
    • Review travel expense reports for accuracy and compliance with Town policies.
    • Monitor cash receipts, prepare bank deposits, and audit internal petty cash funds.
    • Provide technical assistance to auditors or accountants.
    • Interface with Town staff, auditors, business entities, governmental jurisdictions, and the public, to provide and receive information related to areas of financial responsibility.
    • Crosstrain to assist in other major Finance functions such as payroll, accounts receivable, business license and cashiering.

    The ideal candidate will bring collaborative, team-centered qualities to the Finance Department; be self-motivated, tactful, detail-oriented with strong customer service skills; able to communicate in a clear and concise manner both verbally and in writing with internal and external customers and vendors. The ideal candidate will be self-assured with the ability to exercise a high degree of common sense and sound judgment. The ideal candidate will have the ability to resolve problems quickly and effectively; provide follow-up in response to inquiries; function in a high-volume, demanding office environment and handle multiple priorities and deadlines with ease while always maintaining business etiquette and a professional demeanor.

    Schedule: This position is not eligible for a remote or hybrid work schedule.

    Minimum Qualifications

    Minimum Qualifications
    Any combination of experience and training that would likely provide the required knowledge, skills and abilities is qualifying.
    Completion of high school or equivalent and three years of complex and varied administrative and technical support experience is required. College-level coursework, technical training or certification is highly desirable.

    Special Requirements
    • Driver's License: Depending upon the position assignment, may require a valid Class C California driver’s license, acceptable driving record, and proof of insurance in compliance with the Town’s Vehicle Insurance Policy standards.

    • Disaster Service Worker: In accordance with California Government Code Section 3100, Town of Los Gatos employees, in the event of a disaster, are considered disaster service workers and may be asked to protect the health, safety, lives, and property of the people of the State.
