      • Position Summary
      • Full-time position available on or after November 11, 2024 in Continuing and Professional Education.

        Under general supervision, the Administrative Support Coordinator I will support the Continuing and Professional Education (CaPE) department in managing student registration, enrollment, and program administration for programs that fall under the CaPE profile, which include credit and non-credit programs. Key responsibilities include overseeing student registration processes, data management, student communication, and process coordination using systems like Salesforce and PeopleSoft to ensure efficient program operations and timely registration of students.

      • Job Duties
      • Duties include but are not limited to:
        • Perform administrative duties in support of work unit operations and coordinate work activities.
        • Set up and maintain office procedures related to a specific academic program or administrative office.
        • Develop documents involving the use of software features such as charts, tables, and graphics.
        • Perform administrative duties and/or project work and coordination related to programs, policies, and procedures.
        • Organize and arrange special events; and related activities.
        • Maintain, gather, and analyze data and information for various purposes.
        • Track, monitor, coordinate, and/or compile department activities, programs, or events, budgets, and financial data.
        • Compile and prepare various reports.
        • Use and maintain office support technology and systems such as word processing, desktop publishing, spreadsheets, and databases to produce results.
        • Interact with a variety of campus and community constituents.
        • Work with students, faculty, and staff to assist them or resolve problems.
        • Network to build campus relationships to expedite work and projects.
        • Coordinate work and projects.
        • Serve as a primary contact and/or resource to outside parties, such as vendors or governmental agencies, and/or to top-level administrators.
        • Other duties as assigned.
      • Minimum Qualifications
      • Education : High school diploma, technical/vocational program, or their equivalents.
        Experience : Several years of related office work experience.
      • Preferred Qualifications
        • Bachelor’s degree in a related field (e.g., business administration, education, or public administration).
        • Two years of experience in student services, registration, or program coordination, preferably in a higher education or continuing education setting.
        • Proficiency in Salesforce, PeopleSoft, or similar student information systems for data management and reporting.
        • Experience in administrative support, including event coordination, meeting logistics, and drafting contracts or agreements.
        • Experience working in higher education institutions.
      • Knowledge, Skills, Abilities
        • Experience to be fully functional in all technical aspects of work assignments.
        • Ability to understand and operate in a variety of organizational structures.
        • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
        • Thorough knowledge of English grammar, punctuation, and spelling. Ability to clearly communicate orally and in writing.
        • Ability to use and quickly learn new office support technology systems and software packages.
        • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
        • Ability to independently handle multiple work unit priorities and projects.
        • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
        • Working knowledge of budget policies and procedures.
        • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
        • Ability to draft and compose correspondence and standard reports.
        • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
      • Salary Range
      • Anticipated salary will be $$3,864 - $4,250 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $3,864 - $6,072 per month)
