General Description and Classification
Performs general administrative and operational support duties to align with the department’s directives and organizational goals. Duties include, but are not limited to, preparing, reviewing, disseminating, and organizing routine correspondence, documents, and reports; coordinating schedules and meetings; assisting internal and external stakeholders; and implementing office policies and procedures.
Supervision Received
Works under minimal supervision and manages own workload within departmental guidelines.
Essential Duties & Responsibilities
The following are typical responsibilities for this position but are not all-inclusive. Other duties may be assigned as needed.
Manages the daily operations of the office, including scheduling meetings, handling communications, and coordinating with other departments and city personnel.
Acts as the primary point of contact for visitors, staff inquiries, and inter-departmental communications.
Coordinates onboarding and offboarding processes for employees, including retirements and training requirements.
Assists with employee engagement activities, including special events, recognition programs, and team-building initiatives.
Maintains organized records of operational and personnel documents, ensuring confidentiality where appropriate.
Prepares and distributes departmental reports, agendas, and presentations.
Manages calendars for leadership, organizes meeting logistics, and ensures accurate record-keeping for meetings and key discussions.
Oversees general office maintenance, supply inventory, and other logistical tasks to ensure smooth operations.
Assists in coordinating program execution and tracking progress toward operational goals.
Acts as a liaison for human resources, ensuring staffing requests and hiring documents are completed and submitted.

Minimum Qualifications
Associate’s degree in business administration or a related field.1 year of experience in an administrative or clerical role (Additional years of experience may substitute for the required education).
Preferred Education & Experience
Bachelor’s degree in business administration or a related field preferred.2-5 years of experience in a progressively responsible administrative role is desirable.
Licensures and Certifications
None required. Training in specialized software or reporting systems may be needed based on department requirements.
Essential Capabilities and Work Environment
Requires physical, sensory, and environmental capabilities needed to perform job functions effectively.
Typical office environment with some travel between fleet locations as needed.
