This position will be in the Division of Administrative Support at the Lewis & Clark State Office Building, 1101 Riverside Drive, Jefferson City, Missouri.

  • Provide administrative support to division team members as necessary, including scheduling meetings, making travel arrangements, finalizing correspondence, ensuring timely approval of grants and other signature authority duties as delegated by the department director.
  • Coordinate the department policy review process ensuring appropriate reviews have been conducted, the final document is posted on the intranet and sent to all department team members.
  • Coordinate, review, and edit department-wide outside agency report requests and submit to appropriate entities.
  • Compose, proofread, and prepare memorandums. May research and prepare information.
  • Submit Active Directory requests for new division team members.
  • Create and update division forms, ensuring final versions are posted on the intranet.
  • Initiate and coordinate the onboarding and offboarding of department operations team members and unclassified positions, including requests to fill, scheduling interviews, requests to hire and offboarding activities.
  • Supervise, mentor, and coach one team member.
  • Coordinate, track and review team members’ professional dues and memberships, including their annual training plans.
  • Manage supplies for the office - making sure adequate supplies are available and ordering additional items as requested.
  • Manage multipurpose purchasing card in accordance with state guidelines and policies.
  • Serve as back up to the administrative support professional to prepare and submit department operations invoices for payment through PayPoint.
  • Other duties as assigned.

  • Ability to operate in a discreet environment and maintain a certain level of confidentiality.


Equivalent to those typically gained by:

  • Four or more years of office or related clerical experience including one year at an advanced level position.
  • Possession of a high school diploma or GED certificate.
