Position Description
Performs advanced, specialized work to assist in the organization and implementation of various projects and programs. Work is performed under minimal supervision within established policies with latitude for independent judgment. Works on special projects as assigned. May substitute for supervisor during his/her absence.

Major/Essential Functions
  • Provides direct support to assigned faculty members. Duties include telephone calls, correspondence, travel arrangements, faculty leave requests, schedule leave reports, CV updates, and other duties as necessary
  • Makes travel arrangments for faculty members as requested, provide itinerary of trip; compile receipts, completes travel applications and vouchers in TTUHSC travel system to obtain reimbursement.
  • Coordinate scheduling of depositions, narratives, and other requests from attorneys.
  • Ensures completion of hospital credentialing applications, Tenure & Promotion applications, and other recertification applications as needed.
  • Maintain federal, state and local licenses and recertifications for assigned faculty members, ensuring that renewals are done in a timely manner.
  • Contributes to the smooth operation of the administrative office and cover for co-workers as needed.
  • Coordinates department correspondence; screens and distribute mail to admin office and other clinics, sends and distributes faxes.
  • Place orders for printed materials for administrative office and clinics.
  • Coordinate hiring and onboarding activities: review and contact job applicants, schedule interviews, complete matrix, assist with job offers and onboarding.
  • Proactively assists others as needed.


Required Qualifications
High school plus six years experience in related field. Additional education may substitute for experience on a year for year basis.
