Job Summary TITLE: CMMS Specialist SRN A38: $7,731 - $10,646 Monthly, Non-exempt Bargaining Unit: CVWDEA Department: Operations Section: Administration REPORTING RELATIONSHIP: Receives direction from assigned supervisory or management personnel. Exercises no direct supervision over staff. Promotional opportunity procedures will include the following: Review of minimum qualifications Review of personnel files, including but not limited to: attendance history, disciplinary history, and performance evaluations Testing/Assessments: Oral Interview(s) JOB SUMMARY: Under general direction, to maintain the Computerized Maintenance Management System for managing assets, preventive maintenance procedures and work orders. The selected candidate will be knowledgeable in Computerized Maintenance Management System (CMMS) applications and asset master data principles. Key responsibilities include the data input of operational assets, coordination of asset data with the GIS system, tracking of new asset updates, updating condition scores, input of preventive maintenance plan configurations, updating of recurring schedules, review and update of codes used to track work orders, maintenance of employee security records, maintain crew assignments in the CMMS, and maintaining detailed analytical reporting. Essential Functions ESSENTIAL FUNCTIONS : Coordinates with vendors, consultants, and internal departments to gather asset information and maintain accurate and standardized asset records. Monitors the creation of asset entries by other departments such as Engineering and GIS and modifies asset characteristics such as cost, group, type, area, or criticality descriptions as necessary.In collaboration with the Maintenance staff, maintains the Preventive Maintenance Plans including task descriptions, resources, schedules and generation of work orders. Participate in the development of tailored and standardized reporting structures within the CMMS program and perform analysis on reports to improve maintenance activities.Monitor CMMS integrations with external systems such as the ERP and GIS systems to ensure systems are kept in synch, accurately and consistently. Coordinate with Information Systems staff to troubleshoot any integration issues.Maintains the integrity and standardization of the CMMS data.Provides daily customer service to CMMS users including training, gathering enhancement requests, and coordinating questions with outside vendors.Executes routine Key Performance Indicator reports to assess successful usage of the CMMS.Assists the Asset Management Program Coordinator in the development of a comprehensive Asset Management Program.Coordinates programs and project activities as necessary to align with other CVWD functions. Minimum Qualifications MINIMUM QUALIFICATIONS: License and Certifications: Possession of a valid California Driver’s License, to be maintained throughout employment. Certification from an Asset Management professional association preferred. Education and Experience: High School Diploma or equivalent is required. Any combination of training and experience that would likely provide the required knowledge and abilities is qualifying. Minimum five (5) years of maintenance data management experience; water utility setting preferred. Certificates, Licenses, Registration and Other Requirements Knowledge of: Strong understanding of asset processes and data flow Strong understanding of maintenance management practices Strong understanding of computerized maintenance management systems concepts, functionality and integration operation Basic geographic information system (GIS) concepts, principles, and analytical techniques, including computerized mapping and attribute-data conversion, manipulation and analysis Excellent interpersonal, collaboration, problem solving, critical thinking, and communication skills Methods and techniques of effective technical, administrative, and financial record keeping, report preparation, and presentation Ability to: Coordinate the collection of capital asset information; develop and employ methods that ensure accurate data collection Assist users in understanding the development, implementation, and maintenance of the CMMS for managing CVWD assets Utilize the CMMS to capture asset data to help streamline capital planning, track condition data, preventative maintenance schedules, and maintenance costs Train various user groups in the proper use of the CMMS Evaluate problems, identify alternative solutions, develop cost/benefit analyses and determine consequences of proposed actions Develop recommendations for key problem areas and implement/monitor changes formally Prepare clear and concise reports, tables, schedules, summaries, and other materials in statistical and narrative form Understand the organizational structure and operations of CVWD and collect, interpret and integrate relevant data from multiple sources Organize and prioritize timelines and project schedules in an effective and timely manner while maintaining confidentiality on sensitive items Establish and maintain effective working relationships with managers, and co-workers within CVWD and other public agencies as required The Coachella Valley Water District provides a comprehensive, balanced, and competitive benefits package ensuring employees have many options to meet their healthcare, wellness and/or retirement savings goals.
