Performs advanced level administrative and planning work to manage physical space and information technology assets controlled by Partnership Health Center in accordance with Health Center goals, vision, and best practices. Relieves department managers and professional staff of important detail work.
Representative Examples of Work
Recommends policies and procedures governing space use and assignment. Develops and updates procedures for space requests. Evaluates requests and submits completed requests to leadership with attached recommendations (approve, disapprove, may need more information). Gathers information requested by leadership prior to any decision.
Maintains record of all space controlled by Partnership Health Center, along with current department and individual space assignments, in coordination with Maintenance and others. Tracks space based on a number of considerations and develops recommendations to best utilize existing resources.
Works with other PHC departments to develop and coordinate space utilization plans, including allocations of any new space that may be acquired. Provides recommendations as requested to PHC committees and leadership regarding space considerations. Works with outside entities as required.
Coordinates activities of PHC's space management committee, to include scheduling meetings and tracking incoming requests and progress of those requests. Provides updates and communication to all parties involved in any space moves. Works with Maintenance and IT to coordinate physical moves.
Partners with the PHC Program Expansion Manager to determine functional space needs for new expansions or additional service lines. Assists with planning and coordination of any moves involving existing personnel into new space, to include how vacated space will be used by other departments. This includes working with external vendors for planning, contracting, and other activities.
As part of Infrastructure, works with IT Security Team to develop and review cyber event response protocols. Documents policies, updates policies as required, and verifies execution of checks and tests required by those policies. Compiles and forwards a report to the Director of Infrastructure as directed regarding status of IT Security Team.
Schedules, organizes and documents meetings, and trainings/exercises related to Infrastructure and IT Security generally, both for the IT Department and other PHC employees. Conducts follow-up activity as required or directed. May also plan and execute exercises relating to IT response capabilities.
Serves in a general administrative support capacity for the Director of Infrastructure. Processes and adds new employees to security training platforms and other external systems.
May make travel, conference and training arrangements for staff.
Performs related work as required or directed.
An equivalent combination of education and experience may be considered.
EDUCATION: Associates degree required. Degrees best suited to this position are office administration, communications.
EXPERIENCE: Requires two years of administrative support experience in an office setting. Requires one year of experience working with the public. Requires one year of experience working with the public. Experience using Excel spreadsheets desired.
SPECIAL REQUIREMENTS : Requires immunizations or proof of immunity to certain infectious diseases and a TB test. The work is commonly performed in an office setting with a considerable amount of time using a computer keyboard. The work is performed in a medical office setting and may expose the employee to communicable diseases. Requires frequent light lifting, up to 20#, and occasional lifting up to 50#.
