Position Summary Administrative Coordinator will work for the San Francisco Bay National Estuarine Research Reserve (NERR) at Estuary and Ocean Science Center on the Romberg Tiburon Campus of San Francisco State University (SFSU), in Tiburon, CA. The position will be half time. The Administrative Coordinator will serve as a key contact between SFSU (Office of Research and Sponsored Programs), NOAA, and NERR staff and will assist the NERR Reserve Manager. The Administrative Coordinator will provide pre- and post-award grant support between the NERR and SFSU (prepare and interpret budgets and accounting reports; troubleshoot any discrepancies with appropriate campus offices; provide the NERR Manager with monthly financial reports; and assist with procurement and reimbursements) and grantors and subawardees (progress reporting, support with procurement and invoicing). Provide coordination support on human resources. Provide support with a variety of administrative tasks (scheduling meetings, planning special events, and supporting projects). Position Summary Administrative Coordinator will work for the San Francisco Bay National Estuarine Research Reserve (NERR) at Estuary and Ocean Science Center on the Romberg Tiburon Campus of San Francisco State University (SFSU), in Tiburon, CA. The position will be half time. The Administrative Coordinator will serve as a key contact between SFSU (Office of Research and Sponsored Programs), NOAA, and NERR staff and will assist the NERR Reserve Manager. The Administrative Coordinator will provide pre- and post-award grant support between the NERR and SFSU (prepare and interpret budgets and accounting reports; troubleshoot any discrepancies with appropriate campus offices; provide the NERR Manager with monthly financial reports; and assist with procurement and reimbursements) and grantors and subawardees (progress reporting, support with procurement and invoicing). Support NERR Manager on human resource needs, including coordinating with ORSP, coordinating annual reviews, hiring assistance, volunteers coordination. Process paperwork for NERR Manager and staff: travel authorizations, travel and project reimbursements, purchase orders, grant contracting and subawards. Financial and Grant Management, Pre-Award Support NERR Principal Investigators with pre-award grant proposal development, including coordination with Office of Research and Sponsored Program, coordinating funding opportunity notices, budget development, grant information input to state and federal grant submission online portals. Position Information Creative Strategy • Collaborate with the Director of Innovation to develop and execute creative strategies that align with the University's brand identity and marketing objectives. • Collaborate with the Director of Innovation in the creation of creative content (play, workshops, curriculum, events) aligned with the Narrative Change Project’s objectives. • Provide creative direction and guidance to the design, content and production teams, ensuring the delivery of compelling and impactful storytelling projects, curriculum, events and workshops aligned with the goals of the project. • Support Narrative Change Project’s integration with AAS faculty and students participation through workshops, events and feedback sessions that are meaningful and impactful. • To be thoughtful of the integration of community mental-health in the creation of content. Project Management • Provide project management leadership and ensure that projects are delivered on time, within budget and meet quality standards. • Develop and implement project management processes, workflows and best practices to enhance efficiency and productivity for the Narrative Change Project. Project management includes, but is not limited to, prioritizing design projects, establishing workflows for the team, tracking jobs on shared project management tool and providing updates to the Director of Innovation and team for feedback and progress updates. • Allocate resources appropriately for each project, considering timelines, priorities, and skill sets. • Regularly communicate project status updates to stakeholders, ensuring transparency and alignment. Cross-Functional Collaboration • Work closely with the entire Narrative Change Project team to integrate creative strategies into the project. • Partner with AAS departments and other academic units to share Narrative Change Project projects, curriculum, events and workshops. • Foster strong relationships with external vendors, agencies and freelance professionals to support project execution when necessary. Event Planning and Coordination • Lead and coordinate workshops and events with multiple stakeholders where diverse demands are involved. Works under pressure, often in public situations involving large crowds and visiting artists/performers/speakers, requiring flexibility to adapt and respond to rapid changes while meeting strict deadlines and limited direction. • Serve as primary contact for external and community partnerships, space allocations, staffing needs, and contracts. • Oversee overall physical condition of event spaces and facilities.
