    An Administrative Services Manager position is available with the City of Fort Worth City Manager's Office (CMO). This position will oversee the CMO administrative support team, manage the City Manager's calendar, and serve as the Budget and Fiscal Manager for the office, including purchasing activities.

    The Manager role will perform and oversee human resources administrative functions, event/program coordination, and conduct research and data analysis to support the office's strategic initiatives.

    Minimum Qualifications:
    • Master's Degree from an accredited college or university with coursework in Business Management, Public Administration, Business Administration, Human Resources, or a related field
    • Two (2) years of increasingly responsible and complex administrative, fiscal, personnel, budgetary, and management experience
    • One (1) year in a supervisory capacity

    Preferred Qualifications:
    • Strong verbal and written communication skills, including research skills
    • Proficient skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
    • Excellent interpersonal skills. Ability to develop and maintain a positive working relationship with employees, elected officials, citizens, businesses, and community groups
    • Solutions-oriented approach to complex challenges
    • Familiarity with municipal government operations
    • Proficient skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
    • Experience with systems such as PeopleSoft, Questica, or similar HR, budgeting, and purchasing software

    The Administrative Services Manager: Summary of Key Work Expectations:
    • Staff Management: Oversee, direct, and evaluate the work performance of 3 support staff for the City Manager's Office. Includes hiring, training, evaluations, performance and discipline management, and work assignment distribution.
    • Calendar Management: For the City Manager and in the absence of support staff, ensure efficient use of the Executive's time, travel, and desk time; identify the importance of meetings; stay organized; avoid overbooking; and ensure only relevant, high-priority appointments are scheduled and attended.
    • Budget Liaison: Oversee and coordinate the preparation, implementation, and management of the CMO budget, including the budgets for the Mayor & Council, Office of Police Oversight, Office of Emergency Management, and Intergovernmental Relations. Includes budget monitoring, expense and purchasing coordination, forecasting, and optimal financial planning to stay on track and within budget.
    • Fiscal Management: Contracts, Mayor & Council Action Items, Procurement, Invoice Payment, and similar budgetary responsibilities.
    • HRC/MRC Liaison: Oversee the CMO's point of contact for personnel-related activities, including payroll, position and people management, and absence management.
    • Meeting Coordination: set up meeting logistics, speaking engagements/talking points, presentations, conference/video conferencing setup; provide necessary information/ documentation ahead of meeting to help Executives be well-prepared; organize and coordinate meetings, prepare agendas, distribute meeting materials, take meeting notes, track action items, and arrange room and technology requirements.
    • Email, Phone Calls, and Correspondence: Screen and manage emails, draft responses, and ensure important messages are addressed promptly.
    • Document Preparation/Document Management: Produce/draft and record documents such as letters, reports, memos, proposals, agendas, summaries, charts, and presentations; proofread and correct documents. Notarize documents.
    • CMO Liaison: Serve as a point of contact with internal/external stakeholders.
    • Project Support: Assist with project management and coordination, including tracking progress, deadlines, and budgets, and provide updates to the executive team.
    • Public Information Request: Track and monitor PIR requests.
    • Research & Data Analysis: Research various topics, gather data, and prepare reports and summaries for the executive's use in decision-making.
    • Confidentiality: Maintain strict confidentiality and discretion regarding sensitive information.

    Medical Program

    The City offers two plan options through Meritain Health, an Aetna company.

    The Health Center Plan – Offers employees and their family’s

Employees can visit any one of the three City of Fort Worth Employee Health Centers and receive guaranteed same or next day appointments for sick visits. Also, services are available at any one of the five satellite locations that serves employees across the city.

    The Consumer Choice Plan – Is offered to employees at no cost or low monthly premiums to cover eligible dependents and provides the financial benefits of a Health Savings Account (HSA).

    • Preventative services are covered at 100% on both plans.
    • Prescription Drug coverage including mail order pharmacy are also included.

    Vacation

    Eligible for 3 weeks of vacation: After successful completion of probationary period (usually
    6 months), employees may take time off for rest, relaxation, vacation, illness, religious observances, and personal business.

    Holidays

    Available on the first day of employment, the city provides employees with paid holidays, including two personal holidays.

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
