Position DescriptionThis position is responsible for ensuring the smooth operation of the clinic patient flow and serving as the primary contact for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Work is performed in usual clinic conditions and requires a high degree of direct contact with patients, staff, and insurance companies. Employees may have cash-handling responsibilities.
Major/Essential FunctionsThe position helps guide patients and their families through the program and services offered. This includes assisting patients and their families in scheduling appointments for visits and assessments. This person serves as the primary point of contact for patients and their families. Senior Patient Services Specialists are committed to removing barriers to care by helping families navigate through program services and promoting patient health. They work closely with the care team, which includes mental health clinicians, senior clinic assistants, and providers. This position is responsible for assisting with gathering and maintaining records, as well as necessary forms, consents, and authorizations, during the initial intake. The Senior Patient Services Specialist is responsible for checking and updating various platforms (e.g., Adobe Sign, Trayt, fax) in reference to a patient's records. The Senior Patient Services Specialist works collaboratively, performing a wide range of complex and confidential administrative and facilitation duties to support the programs. Anticipates and resolves problems; updates and reschedules appointments as needed. Disseminates necessary information for scheduled appointments to providers, clinicians, school staff and parents/guardians. Responds to requests for information from patients and providers, helping to ensure the smooth operation of the clinic flow.
- Establishes close relationships with and serves as the primary point of contact for families.
- Communicates with care team members (mental health clinicians, senior clinic assistants, and providers) to facilitate patient care.
- Remains aware of current services offered by service providers.
- Maintains strict confidentiality in accordance with agency policies.
- May meet with patients and guardians before appointments to review and update pharmacy preferences, location during the time of appointment, and contact information.
- Maintains documentation of all patient and family encounters and completes reporting requirements according to organization standards.
- Tracks patient information and schedules confidentially.
- Tracks patient attendance at medical appointments and initiates outreach and missed appointment procedures, as necessary.
- Gathers all appropriate forms and consents.
- Checks all platforms for appropriate authorizations and uploading to Isilon and Epic for providers and clinicians.
- Coordinates and schedules initial intakes and communication of appointment time to parents/guardians, providers, clinicians, and school staff.
- Coordinates and schedules group sessions and communication of appointment times to parents/guardians, providers, clinicians, and school staff.
- Assists with rescheduling of appointments when needed.
- Tracks communication with parents, school staff, providers, and clinicians for initial appointments.
- Collaborates with professionals in a variety of settings such as higher education institutions, school districts, medical clinics and others through face-to-face, email, phone or mail contact.
- Constantly maintains a professional rapport and upholds TTUHSC values throughout all interactions.
- Maintains and updates professional knowledge and proficiency through continuing education, staff meetings, workshops and serving on special committees.
Required QualificationsHigh school diploma or equivalent. Three (3) years of customer service, office, or related experience, with two (2) of those years in a healthcare or dental clinic setting preferred. Additional education may substitute for the experience requirement.
