    Permanent status cannot be earned in this grant funded position. This Temporary appointment can be concluded prior to the stated temporary appointment end date, normally with a two-week notice period. Continuation of this temporary appointment is contingent upon grant funding.

    Work Schedule

    Monday through Friday, from 8:00am-5:00pm

    Anticipated Hiring Range

    $6,371.00 - $7,350.00 Per Month ($76,452.00 - $88,200.00 Annually)

    Salary is commensurate with experience.

    Position Summary

    The Administrative Lead of the Student Enrichment Opportunities (SEO) office will receive lead work from the Director of SEO and be under the general direction of the CoSE Associate Dean. The incumbent will be responsible but not limited to provide lead administrative support for SEO. The Administrative Lead will act as the primary point of contact for the office, with the goal of maximizing the effectiveness of the office and creating programs and strategies to enhance student diversity, recruitment and retention. In this capacity, the Administrative Lead will work with the Director to determine strategic plans that will result in maximizing support for SEO undergraduate and graduate student scholars. The incumbent will be responsible for communicating with students, faculty or other SEO personnel in all formats. The incumbent will also collaborate with campus faculty enrollees in SEO programs and outreach to community members for SEO program tasks and projects. The Administrative Lead will oversee office staff responsibilities and will directly interact with the grant program directors and the SEO Director or Associate Directors as needed. The Administrative Lead will help maintain the website, produce a weekly newsletter to all scholars and student mentors, hold weekly staff meetings, will work with Program Directors to help coordinate grants administration, compliance, and reporting activities, and will interact with recruiters nationally in organizing their participation in recruiting events on the SFSU campus. They will coordinate evaluation of activities and ensure that data collection uses best practices with the solicitation and handling the confidentiality of our data.

    Position Information

    Office Staff Lead Work

    Oversee the daily operations of the SEO office:
    • Monitor SEO emails and forward or delegate each email to the appropriate people (to students or their research mentors, office staff, Program directors, Associate Directors or the Director, or answer emails directly).
    • Provide scheduling support, calendar management support, and meeting agenda preparation, and co-facilitate meetings with office staff (weekly) and Program Directors, colloquium instructors and office Directors (monthly), and with advisory committees (semi-annually).
    • Effectively communicate with diverse contacts within and outside of the university. This includes contributing to the maintenance and development of website and marketing materials for the various SEO programs, including a weekly newsletter and general messaging through email and slack.
    • Manage complex administrative issues related with SFSU grants office, human resources, and financial departments.

    Program Administrative Support

    Maintain operation of grants supported through the SEO office:
    • Monitor SEO emails and forward or delegate each email to the appropriate people (to students or their research mentors, office staff, Program directors, Associate Directors or the Director, or answer emails directly).
    • Provide scheduling support, calendar management support, and meeting agenda preparation, and co-facilitate meetings with office staff (weekly) and Program Directors, colloquium instructors and office Directors (monthly), and with advisory committees (semi-annually).
    • Effectively communicate with diverse contacts within and outside of the university. This includes contributing to the maintenance and development of website and marketing materials for the various SEO programs, including a weekly newsletter and general messaging through email and slack.
    • Manage complex administrative issues related with SFSU grants office, human resources, and financial departments.

    Maintain operation of grants supported through the SEO office:
    • Oversee office staff to ensure that all grant requirements are met: analysis of project budgets, administration of stipends, honoraria, preparation of purchase orders, requests for reimbursements, contracts, and pay for services.
    • Collaborate with the Program Directors and office Directors, develop effective recruitment strategies that maximize diversity in the applicant pool of SEO scholars. This involves advertising and recruiting, screening, and interviewing of perspective candidates as part of a committee, maintaining and analyzing data to assess effectiveness of outreach, recruitment and admissions strategies in the various SEO programs, contributing to publication of scholarly research related to inclusion and outreach, admissions, and programmatic outcomes, and implementing SEO events and activities such as the annual SEO welcome in August.
    • Work directly with PhD recruiters from institutions nationwide, and coordinate their visits to campus, including scheduling meeting times for groups of students and for 1-on-1 meetings.

    Student Support
    • Function as first contact for students in the SEO office. Cultivate consistent relationships with students of diverse backgrounds in the Biosciences to advise appropriately in a variety of domains, including but not limited to academic, professional, cultural, and career mentoring. This can be accomplished by (i) checking in on a regular basis with trainees from underrepresented groups, (ii) and on an ad hoc basis as needed, advising and counseling student cohorts and individual trainees on academic, training expectations, issues, and conflicts, with particular emphasis on those related to diversity and inclusion, or (iii) routing them to the appropriate people and resources for their particular issues.
    • Represent the SEO office and its various programs and share data and outcomes at major research and diversity conferences, such as SACNAS, ABRCMS or the TWD conferences. Provide student support at these conferences, including coordinating poster presentations and disseminating information to all relevant parties.

    Minimum Qualifications
    • Bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
    • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
    • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.
    • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend newer revised policies.
    • Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
    • Ability to work with representatives from public and private entities and handle potentially sensitive situations. Demonstrated consultative skills in working with internal and external constituent groups.
    • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.

    Preferred Qualifications
    • MS degree in biological sciences.
    • Experience working with university administration, local communities, and/or science faculty.
    • Experience working with grant-funded programs and their designated reporting systems.
    • Proficiency in financial and budget management.
    • Supervisory experience working with individuals from a diversity of backgrounds.
    • Excellent written and oral communication skills.
    • Ability to work both independently, collaboratively, and on multiple teams, simultaneously.
    • Budget management, university processes and procedures, and familiarity with science education programs, research, and grant-funded efforts.
    • Commitment to promoting inclusion, equity, and fairness in all aspects of the work.
    • Three years of progressively responsible administrative or professional experience which is applicable to the responsibilities of science education program administration and coordination.
