    Position Summary

    Under the general supervision of the Executive Director of University Housing Services, Senior Conferences & Events Management Specialist is responsible for all aspects pertaining to scheduling events/conference rooms, summer camps, and conference programs. The incumbent meets with internal and external clients to recruit conferences to California State University, Sacramento. They serve as the primary contact for housing events, camps, and conferences. During summer conferencing, the incumbent manages and operates 7 residence halls, which can accommodate up to 2,100 guests. They coordinate each group's stay on campus including facility preparation, services while in residence, facility turnover, check-in/checkout process, keys and card access, billing/account reconciliation, and payment verification. They are responsible for maintaining reports at the end of each summer conference season and creating a Customer Service survey and evaluating the overall result to improve Event Services, Camps and Summer Conferences. The incumbent develops a conference services plan that includes occupancy management, conference rate, and marketing efforts to target prospective clients. They work closely with Residential Education, Housing Facilities, Custodial, Grounds, and other units to provide customer service to clients. The incumbent hires, trains, and supervises event and summer Conference Services staff and coordinates all aspects of summer conferences and events as part of the overall Conference and Events Services operation (similar to a hotel operation). The incumbent oversees all facilities and spaces in the residence halls that can be reserved by University Partners and works closely with University Housing Services (UHS) and campus departments to book events in common spaces for student and Sac State community use.

    FLSA: Exempt (not eligible for overtime compensation)

    Anticipated Hiring Range: $4,598 per month - $6,640 per month; commensurate with the candidate's education, experience, skills, and training.

    CSU Classification Salary Range: $4,598 per month - $8,318 per month

    Work Hours: Monday - Friday 8 am - 5 pm. Hours and days will vary including evenings and weekends. Position works on-site.

    Department Information

    The Conference & Event Services Office at California State University, Sacramento is happy to offer housing to a variety of conferences during the summer months (June-August). This includes both youth and adult groups covering a range of program goals including sports camps, leadership workshops, and educational forums. Sacramento State’s housing complex accommodates approximately 2,100 beds and consists of five three-story residence halls and one four-story suite-style building. All on-campus housing facilities are located on the northeastern side of the University surrounding a central Dining Commons and quad area. The housing complex has study rooms, kitchens, and free laundry facilities. Each residence hall also has a recreation room complete with pool table, table tennis, vending machines, and a television.     Minimum Qualifications

    Entry to this classification requires general knowledge and skills in the applicable administrative or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement administrative policies, procedures, practices, or programs.

    Required Qualifications

    Experience:
    Experience working with a diverse range of individuals and groups. Experience supervising a large staff. Excellent organizational skills. Ability to utilize general and specialized office equipment, including computers. Knowledge and ability to complete client intake requiring both assessment of client history concerning both short-and long-term needs. Knowledge of community resources. Effective oral and written communication skills. Working knowledge of and adherence to all agency policies and procedures. Ability to maintain client confidentiality. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

    Experience providing program/administrative coordination within a University Housing environment. Experience with StarRez or similar student housing database/software systems.
